OGD Personal Training Privacy Policy

OGD Personal Training is committed to protecting your privacy, both as a client and as a visitor to our website. This Privacy Policy applies to all products and services OGD Personal Training owns or operates, including our website, our cloud-based booking and payment systems, and any other apps or services we may offer (for example, events or training programs). It explains how we collect, use, store, and disclose your personal information.

This policy is intended to help us provide the best possible service to you. We respect the privacy and confidentiality of the information you provide.

By using ogdpersonaltraining.com.au ("the Website") you agree to the practices described in this policy.

Purpose

This Privacy Policy explains what personal information we collect from clients and website visitors, how we use it, and how we keep it safe. It governs all personal information collected by or provided to OGD Personal Training and must be followed by anyone who accesses, uses, processes, or otherwise handles personal information on our behalf.

Our objective is to protect the privacy of individuals dealing with OGD Personal Training — including clients and prospective clients — and to explain how we collect, use, disclose, and store personal information in accordance with the Australian Privacy Principles (APPs) under the Privacy Act 1988 (Cth).

What Is Personal Information?

‘Personal information’ has the meaning given to it in the Privacy Act 1988 (Cth): information or an opinion about an identified individual, or an individual who is reasonably identifiable, whether true or not. This may include your name, address, phone number, email address, date of birth, health and fitness information relevant to training, and payment details.

Collection of Your Personal Information

Information you provide to us directly

When you use our website or services, we may ask you to provide personal information such as your name, email address, home or work phone number, and postal address. We collect this information when you sign up for services, book a session, respond to a job application, participate in community forums, join us on social media, take part in training or events, or contact us with a question or support request.

We also collect anonymous demographic information that is not unique to you, such as postcode, age, and gender, where relevant to tailoring your training program. We do not collect information about race, religion, or political views, and we do not ask you to provide it.

If you choose not to provide certain information, that's entirely your choice — but it may mean you're unable to use some parts of our website or services (for example, we can't process a booking payment without payment details).

Payment information (Stripe)

Where you make a payment through our website (for example, booking or paying for a personal training session or package), payment is processed by Stripe, a third-party payment processor.

OGD Personal Training does not collect, view, transmit, or store your full credit or debit card number, card verification code (CVC), or expiry date. These enter these details directly into Stripe's secure payment form, and they are sent directly to Stripe.

Stripe is PCI DSS compliant (Payment Card Industry Data Security Standard), meaning it meets the security standards required for handling card payment data.

We may retain limited, non-sensitive payment metadata from Stripe for our own records — such as the amount charged, the date of the transaction, a payment status, and a Stripe-generated transaction or customer reference ID. This does not include full card numbers.

Stripe may store and process data outside Australia as part of its global payment infrastructure. Stripe's own privacy policy, available at stripe.com/privacy, explains how Stripe collects, uses, and safeguards this information. We encourage you to review it.

By providing your payment details through our website, you also agree to Stripe's terms of service and privacy policy for the processing of that payment.

Information we collect automatically

We automatically collect certain information about your computer or device, such as browser type, domain names, access times, and referring website addresses. We use this information to maintain the quality of our service and to understand general usage patterns on our Website. We do not read the content of any private messages or comments you send through the Website.

We encourage you to review the privacy policies of any third-party websites you visit via links from our website. OGD Personal Training is not responsible for the privacy practices of other websites.

Use and Security of Your Personal Information

We use your personal information to operate our website and deliver our services, including to schedule and manage training sessions, process payments via Stripe, and respond to your enquiries. We may also use your contact details to let you know about other OGD Personal Training products, services, or promotions, or to invite you to take part in surveys about our services. You can opt out of marketing communications at any time by contacting us or using the unsubscribe link in any email.

OGD Personal Training does not sell, rent, or lease client lists to third parties. We may share information with trusted service providers who help us run our business, for example, Stripe for payment processing, or providers who assist with hosting, email, or customer support. These providers are only permitted to use your information to provide the relevant service to us and are not permitted to use it for their own purposes or disclose sensitive personal information.

We will only disclose your personal information without your consent where required or authorised by law, or where necessary to protect the safety of any person.

We take reasonable steps to protect personal information from misuse, interference, loss, and unauthorised access, modification, or disclosure. This includes physical and electronic security measures, restricting staff access to personal information on a need-to-know basis, staff training on data handling, and secure network practices. Payment card data specifically is handled by Stripe under its PCI DSS-compliant infrastructure rather than being stored on our own systems.

Cookies

Our website uses cookies to help personalise your online experience. A cookie is a small text file stored in your browser that collects information about your browsing behaviour on our site. Cookies cannot access other information stored on your device and cannot run programs or deliver viruses.

You can accept or decline cookies at any time by changing your browser settings. If you decline cookies, some interactive features of the Website may not work as intended.

Overseas Disclosure

Some of the third parties we use, including Stripe, may store or process personal information on servers located outside Australia. Where this occurs, we take reasonable steps to ensure these providers handle personal information in a manner consistent with the Australian Privacy Principles.

Data Retention

We retain personal information only for as long as it is needed for the purpose it was collected, or as required by law (for example, financial records may need to be retained for tax purposes). When information is no longer needed, we take reasonable steps to securely destroy or de-identify it.

Your Rights

Under the Privacy Act 1988 (Cth), you have the right to:

Access the personal information we hold about you;

Request correction of personal information that is inaccurate, out of date, or incomplete;

Opt out of receiving direct marketing communications from us at any time;

Make a complaint if you believe we have breached the Australian Privacy Principles.

If you would like to exercise any of these rights, or have a question, concern, or complaint about this policy or how your personal information has been handled, please contact us at oderome@icloud.com

If you make a complaint, we will investigate it and use reasonable efforts to respond to you in writing within 30 days. If you're not satisfied with our response, you may also contact the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.
